Privacy Policy on the Management and Protection of Personal Information
PRIVACY POLICY
Groupe Expertbâtiment Inc. has always placed great importance on protecting the information under its responsibility. The Act to modernize legislative provisions respecting the protection of personal information standardizes this approach by establishing rules and procedures governing the collection, retention, and use of personal information by private and public organizations.
The following policy outlines the principles adopted by Groupe Expertbâtiment Inc. (and its subsidiaries) regarding the protection of personal information.
Definitions and Scope
This policy applies to all employees of Groupe Expertbâtiment Inc. working within the Province of Quebec and/or responsible for collecting or having access to information relating to individuals residing in Quebec.
All personal information under the responsibility of Groupe Expertbâtiment Inc. is considered confidential, except for information that is public by law.
Personal information refers to any information relating to a natural person that makes it possible to identify that individual, other than in a professional context, such as their name, job title, business address, business telephone number, or professional email address. Except in specific circumstances, personal information may not be disclosed without the consent of the individual concerned.
Exceptions include the following situations:
when the information is used for purposes compatible with those for which it was originally collected and the use benefits the individual concerned;
when its use is necessary to prevent or detect fraud, or to assess and improve security and protection measures;
when its use is necessary to provide a requested product or service.
COLLECTION AND USE OF PERSONAL INFORMATION
Groupe Expertbâtiment Inc. uses and discloses personal information only for the purposes for which it was collected, unless the individual has provided consent or disclosure is required or permitted by law.
The information collected by Groupe Expertbâtiment Inc. comes from multiple sources, including electronic request forms, telephone calls, field inspections, photographs of buildings, payment information, and other related sources. This information is collected primarily to provide the services for which we have been retained.
In accordance with the Act to modernize legislative provisions respecting the protection of personal information, personal information is retained for a reasonable period that is at least sufficient to fulfill the purposes for which it was collected.
In addition, accreditation requirements, government compliance obligations, or professional responsibilities may require certain information to be retained for longer periods. To ensure the quality and continuous improvement of our products and services, de-identified information may also be retained for statistical purposes.
Groupe Expertbâtiment Inc. makes every reasonable effort to maximize the security of your information by securing its servers and information transfer methods, training its personnel, and implementing appropriate information management procedures.
CONSENT AND ACCESSIBILITY
Subject to applicable laws and regulations, you may request access to your personal information at any time for review or correction, provided such changes remain compatible with the purposes for which the information was collected.
If confidential information must be transferred outside Quebec, it will be subject to a Privacy Impact Assessment (PIA) in accordance with the recommendations of the Commission d’accès à l’information du Québec.
All partners and subcontractors of Groupe Expertbâtiment Inc. are also required to comply with the Act to modernize legislative provisions respecting the protection of personal information. We do not share your personal information with companies, organizations, or individuals outside Groupe Expertbâtiment Inc., except with authorized suppliers and partners who require access to such information for the purposes described in this policy and only within its limits.
Please note that certain information may be physically stored on secure cloud servers located outside Canada. Access to this information is monitored and restricted to authorized Groupe Expertbâtiment Inc. personnel.
For regulatory purposes, to provide requested services, or to participate in government programs, certain information may be disclosed to government agencies or authorized private organizations.
In general, clients requesting services from Groupe Expertbâtiment Inc. and providing confidential information are deemed to have consented to the use of that information for the purpose of delivering the requested services. The information will be retained and subsequently destroyed in accordance with the procedures established under this Privacy Policy. Should the retention period or intended use of the information change, the original consent will no longer be considered valid.
Any individual may withdraw their consent at any time. However, doing so may affect our ability to provide the requested services.
COOKIES AND WEB SERVICES
Groupe Expertbâtiment Inc. may use cookies, web beacons, tracking pixels, log files, or other technologies to collect certain personal information relating to visitors to our websites, as well as recipients of our newsletters, invitations, and other communications.
Cookies are pieces of information transmitted from a web server to a browser during a website visit that uniquely identify the current browsing session. The information collected may include your Internet Protocol (IP) address, browser type, browser version, the pages you visit on our website, the date and time of your visit, the duration of your visit, and other usage statistics.
COMPLIANCE AND REQUESTS FOR INFORMATION
The Privacy Officer is responsible for ensuring compliance with and implementation of the Private Sector Privacy Act. This individual is also responsible for ensuring the application of this policy and conducting periodic reviews.
